Cancellation, Transfer, and Event Policy

1. Cancellation by Attendee

We understand that plans can change. If you need to cancel your registration:

  • 91 days or more prior to the event start date: A refund will be issued, minus a $75 administrative fee.
  • Within 90 days of the event start date: All registration fees are non-refundable, regardless of the reason for cancellation. This includes, but is not limited to, scheduling conflicts, illness, travel disruptions, and personal emergencies.

All cancellation requests must be submitted in writing to the event organizers.

2. Transfer of Registration

If you are unable to attend, you may transfer your registration to another individual, subject to the following terms:

  • Transfers must be requested at least 30 days prior to the event start date.
  • A $75 administrative fee will apply to all transfers.
  • The replacement attendee must meet any applicable eligibility criteria and agree to the same registration terms.
  • All transfer requests must be made in writing and will only be considered complete once confirmed by the event organizers.

3. Specially Ticketed Events

Some experiences or programming, such as add-on workshops, receptions, excursions, or special sessions, are designated as specially ticketed events.

These tickets are non-refundable and non-transferable, regardless of the date of cancellation or any changes in the attendee’s availability.

Access is subject to availability and may sell out in advance.

4. Scholarship Contributions

Each registration includes an optional $50 contribution to the event’s scholarship fund, which supports access and inclusion for underrepresented or emerging professionals in our industry.

If you did not opt out of this contribution during registration, the $50 will be treated as a non-refundable charitable donation, consistent with nonprofit financial practices.

If your registration is canceled and a refund is issued, the $50 contribution will not be included in the refund.

If you opted out of the contribution at the time of registration, this clause does not apply.

Your generosity helps ensure more equitable participation in our shared professional community. We thank you for your support.

5. Changes to the Event and Force Majeure

The organizers reserve the right to make necessary changes to the event at any time, including, but not limited to, dates, format, venue, programming, and speakers.

In the event of circumstances beyond the organizers’ control, including but not limited to natural disasters, hurricanes, extreme weather events, regional closures, public health emergencies, utility failures, civil unrest, acts of terrorism, or government restrictions, the event may be:

  • Rescheduled to a later date
  • Converted to a virtual or hybrid format
  • Relocated to a different venue

Such changes do not constitute grounds for a refund. All paid registrations will be automatically applied to the rescheduled event. If a rescheduled date is not feasible for an individual attendee, credit toward a future event may be offered at the sole discretion of the organizers.

Decisions will prioritize the safety and well-being of all participants and follow guidance from public agencies and local authorities.
